Why online sellers need a specialist eCommerce accountant

Most accountants are good at what they were trained for: a business that invoices customers and gets paid into a bank account. Online selling does not work like that. Amazon, Shopify, eBay and Etsy pay you in settlements that bundle sales, fees, refunds, reserves and advertising into a single deposit, and none of those deposits line up neatly with your orders.

Alex is an ICAEW chartered accountant who trained at a Big Four firm before moving into eCommerce. He runs everything on the accounting side: your annual accounts, corporation tax, VAT and the tax planning that goes with it. He is the person on your quarterly call.

We work online with sellers anywhere in the UK, by video call, phone and email. Here is what the relationship looks like in practice.

    Bookkeeping, VAT returns, payroll where needed, and management reporting at the level your tier includes.

Pricing philosophy

Fixed monthly fees for limited company and sole trader clients

We charge a fixed monthly fee rather than billing by the hour. You should be able to pick up the phone with a question without wondering what it will cost, and we would rather you asked early than found out late.

Our tiers replace each other rather than stacking. Each one includes everything in the tier below, so a growing seller moves up to a single new fee rather than paying for compliance and eCommerce accounting separately. Compliance starts at £250 a month for sole traders and £590 a month for a limited company, and the eCommerce tiers start at £350 a month with compliance included.

Your Xero or QuickBooks subscription is part of the fee, and every agreement runs month to month with no minimum term. The full breakdown is on our pricing page.

Changing accountants

Changing accountants without a gap in your compliance

Switching is usually less work for you than people expect, because the incoming accountant does most of it. A typical switch to eCounts takes two to three weeks.

    You give us your current accountant's details

    That is the main thing we need from you to start. You do not have to have the awkward conversation yourself.

  2. 02

    Professional clearance

    We write to your outgoing accountant to ask whether there is any professional reason we should not act, and to request the records and working papers we need.

  3. 03

    HMRC agent authorisation

    We register as your agent with HMRC for the taxes we will handle, such as VAT, corporation tax, PAYE and Self Assessment. Most of this is done online, and you approve the requests.

  4. 04

    Records and platforms move across

    Your bookkeeping file, prior accounts and deadlines are brought over, and your sales platforms are connected to Xero or QuickBooks.

  5. 05

    We pick up the next deadline

    We confirm what is due and when, so nothing is missed in the handover between firms.

Scope

What we do not do

Being clear about where our work stops is as useful to you as knowing what we cover. We specialise in UK eCommerce businesses, from sole traders to seven-figure limited companies, and we focus our time there.

We do not carry out statutory audits, and we do not take on complex international group structures or tax arrangements designed mainly to avoid tax. Where a client needs specialist work outside our scope, we will say so plainly and point you towards the right kind of adviser.

If what you need is the minimum year-end compliance at the lowest price, we are probably not the right fit, and we would rather tell you on the discovery call than after you have signed.

Qualified, accountable and UK based

Your accounts are handled by Alex, an ICAEW chartered accountant. ICAEW members are bound by the institute's Code of Ethics and its continuing professional development requirements, which is part of what you are paying for when you choose a qualified accountant over an unregulated bookkeeping service.

All of our work is done in the UK by the two of us, with no offshore processing.

We work with sellers on Amazon, Shopify, eBay and Etsy, plus WooCommerce and TikTok Shop, and reconcile Stripe, PayPal, Klarna, Clearpay, Shopify Payments and Square.

Is eCounts an online accountant?
Yes, we work online with sellers across the UK. Meetings run by video call and phone, documents are shared digitally, and your platforms feed into cloud accounting software, so it does not matter where in the UK your business is based.
Do you act as a limited company accountant?
Yes, we look after both limited companies and sole traders. For a limited company that covers the annual accounts, the corporation tax return, VAT and, where relevant, payroll and director pay. Compliance for a limited company starts at £590 a month, and our eCommerce tiers include it.
Are you Xero accountants?
Yes, we work in Xero or QuickBooks, and the subscription is included in your fee. If you are already on one of them we connect your platforms and tidy up the history; if you are starting fresh we set it up during onboarding.
Who will I actually deal with?
You will deal with Alex and Andrew directly. Alex handles the accounting, tax and your review calls, and Andrew handles the integrations, reconciliation setup and dashboards. There are no account managers in between.
How do I change accountants to eCounts?
Give us your current accountant's details and we handle the rest. We request professional clearance, get authorised as your agent with HMRC and move your records across. A typical switch takes two to three weeks.
